TOP RUGBY
TERMS & CONDITIONS AND PARENTAL CONSENT
These Terms & Conditions apply to all sessions, camps, clinics and membership programmes run by TOP Rugby across our Devon locations, including Exeter and Torbay. By booking a place through ClassForKids, or otherwise registering a player, a parent or guardian confirms that they have read, understood and agreed to these terms.
Parental Consent & Waiver
I acknowledge and understand that my child/children will be participating in rugby-focused activities during TOP Rugby coaching sessions. These activities may include, but are not limited to, contact drills, tackling technique, passing and kicking skills, fitness training, gym-based strength and conditioning, touch/tag rugby games, and structured contact scenarios, all aimed at developing rugby performance in a safe and supportive environment.
I am aware that rugby is a contact sport and that participation carries inherent risks, including physical contact and the possibility of minor injuries such as scrapes, bruises or strains, as well as, on rare occasions, more serious injuries.
I agree that, in the event of such injuries, staff trained in first aid may administer appropriate and immediate care. All children will receive a full safety briefing from qualified rugby coaches prior to any activity and will be closely supervised throughout the session to ensure adherence to health and safety guidelines.
In a medical emergency, I consent to TOP Rugby staff seeking emergency medical treatment for my child, including calling an ambulance, if I or my emergency contact cannot be reached.
I hereby release and discharge the management and staff of TOP Rugby from any liability for accidents or injuries that may occur during the sessions, provided such incidents are not the result of negligence by the staff or organisers.
I confirm that my child is physically capable of participating in rugby activities and that all sessions will be conducted by qualified and experienced rugby coaches with safety as a priority.
Terms & Conditions
1. Bookings & Payment
A booking is not confirmed until payment has been received in full through ClassForKids. Paid bookings are given priority over unpaid or pending requests.
Membership and session prices are as advertised at the time of booking. TOP Rugby reserves the right to review pricing between terms or seasons.
Where a session, term or camp cannot go ahead because minimum player numbers are not reached, any payments made for that session will be refunded in full.
2. Monthly Payment Mechanics
Membership fees are calculated as a single season price divided into equal monthly instalments. Instalments are averaged across the season (September – May 7th), so the same amount is collected each month, including half-terms and any weeks without a session and the rest of May.
If a payment fails, we will contact you; if it remains outstanding after 7 days, the player's place may be suspended.
3. Cancellations, Refunds & Missed Sessions
We do not issue refunds or credits for sessions missed due to a player's own circumstances (e.g. illness, holidays, other commitments).
If a session is cancelled due to bad weather or circumstances beyond our control, TOP Rugby will offer a make-up session where possible, or a refund for that session if a make-up cannot be arranged.
Camp and skill clinic bookings follow our tiered cancellation policy: full refund for cancellations made 10+ days before the camp date; 50% refund issued as a credit code for cancellations made 3–10 days before; no refund for cancellations made within 3 days of the camp date.
For membership cancellations, players have a grace period of 7 days from their first session in which to cancel. After this grace period, we require 4 weeks' notice to cancel a membership, and payment will still be due for that month.
If TOP Rugby changes a session's venue, day or time and your child is no longer able to attend as a result, you may cancel without the usual 4-week notice period.
4. Health, Medical Conditions & Illness
Parents/guardians must declare all relevant medical conditions, allergies or injuries during registration, and must keep TOP Rugby up to date with any changes by emailing info@toprugby.co.uk.
Players should not attend a session or camp if they have experienced any form of illness (including vomiting, diarrhoea, fever or contagious infection) within 48 hours prior to that session.
Parents/guardians are responsible for ensuring their child is fit and well enough to take part in rugby.
5. Behaviour & Conduct
TOP Rugby is committed to providing a safe, inclusive and positive environment for all players. While every effort will be made to work constructively with each child, bad language, aggressive conduct or disrespect toward staff or other players will not be tolerated, and coaches' decisions regarding player conduct and session discipline are final.
TOP Rugby reserves the right to take the following actions if required: (1) Early Collection — in the case of persistent disruptive or unsafe behaviour, TOP Rugby may request that the child be collected early from the session; (2) Attendance Restriction — based on behavioural concerns, a decision may be made to exclude the child from attending future coaching sessions; (3) Non-Refundable Policy — should a child be removed from a session or excluded from future participation due to behavioural issues, no refund will be provided.
We ask parents and spectators to support players positively from the sideline and to raise any concerns after the session rather than during it. Abusive behaviour towards coaches, players or other parents may result in termination of membership.
6. Coaching Team
All sessions, camps and clinics are delivered by the TOP Rugby coaching team: a network of qualified, enhanced DBS-checked and first-aid trained coaches working to the same session plans and standards. Named coaches, including founders Sam Skinner and Ben Hawley, coach across the programme throughout the season, but the attendance of any individual coach at any specific session is not guaranteed, and line-ups may change week to week. Bookings are for the programme, not a named individual, and no refund is due because a particular coach was not present.
7. Safeguarding
Our safeguarding practice is aligned to RFU guidance, including HEADCASE. All coaches are DBS-checked and there will be at least one first-aid trained member of staff at every session, and a minimum of two adults are present at every session.

8. Liability & Insurance
Rugby is a contact sport and carries an inherent risk of injury. While TOP Rugby coaches follow RFU-aligned safeguarding and coaching practices, TOP Rugby, its coaches and staff are not responsible for any loss, injury or damage sustained during sessions, camps or clinics, except where caused by our negligence.
Parents/guardians are responsible for ensuring appropriate personal accident cover is in place if desired.
Adidas discounts and the Unit 7 / U7 Therapy partnerships are third-party services, subject to each partner's own availability and terms, and do not form part of the paid membership fee.
9. Photography, Marketing & Video Analysis
From time to time, TOP Rugby may take photographs or video during sessions and camps for use on our website, social media and marketing materials.
Photo consent must be given by the parent/guardian as part of registration on our booking system. A player cannot be registered without this consent being recorded.
Training footage may also be used for video analysis and shared within the members' WhatsApp group. Photo/video consent given at registration covers this use as well as marketing.
You may withdraw or update your photo consent at any time by emailing info@toprugby.co.uk.
10. Drop-off & Collection
Please drop off no more than 10 minutes before the session start and collect promptly at the end; TOP Rugby is responsible for players only during session times.
Players will only be released to authorised adults, so please let us know in advance if someone different will be collecting. Players in Top Academy (U15/16) age groups may leave a session unaccompanied where written parental consent has been given.
In the event of late collection, we will contact you and ensure two coaches remain with the child until they are collected.
11. Equipment & Belongings
A gumshield is mandatory for all contact activity; players without one will take part in non-contact activities only for that session.
Players should bring rugby boots or gym trainers and a water bottle and remove all jewellery before the session.
TOP Rugby accepts no liability for lost or stolen belongings.
12. Membership Benefits & Kit
Membership benefits (including the TOP Rugby Adidas training top, 1 free pro skill clinic, and other benefits set out in the current membership plan) are as described at the point of joining and may be updated between seasons.
Kit and merchandise remain the property of the player once issued and are non-refundable once provided.
13. Data Protection
Player and medical data are collected via ClassForKids and is used only to run our programmes safely and meet our safeguarding duties. It is never sold to third parties, is held in line with UK GDPR, and can be deleted on request.
14. Changes to These Terms
TOP Rugby may update these Terms & Conditions from time to time. Where changes are made, the current version will always be available on request. Continued participation in TOP Rugby sessions following notice of a change constitutes acceptance of the updated terms.
